Privacy Policy

How SiteAid collects, uses, shares and retains your personal data, and the choices you have.

About SiteAid and this policy

Last updated: 11 October 2026.

SiteAid is provided by Site Aid Ltd. For questions about this policy, your personal data or a deletion request, email enquiries@siteaid.ai or call 01268 928690.

Your organisation controls the workforce and project information it enters into its SiteAid workspace and decides who can access it. Contact your organisation's administrator about those records; contact SiteAid about your account or the operation of the service.

Who this policy applies to

A SiteAid account is created either when you register your company through the app, or when your organisation's administrator invites you as a team member. In both cases this policy applies to your personal data. Business records (projects, quotes, invoices, budgets) belong to your company and are covered by your company's use of the platform.

Personal data we hold about you

  • Account and contact details

Your name and email address, used for sign-in and to identify you across the platform.

  • Profile and induction details

Information you or your employer add to your worker profile — for example phone/address details, date of birth, trade and employment details, pay rate, card/accreditation information, emergency contacts and GP contact details.

  • Photos and documents you upload

Site and form evidence photos, snag photos, certificates and any documents you attach to records.

  • Your work content

Form answers, signatures, project chat messages, health & safety records (RAMS, incidents, toolbox talk acknowledgements) and submissions you make. Worker or incident records can contain health, injury or emergency-contact information entered by you or your organisation.

  • Financial information

Worker pay or day rates and company financial or bank details, where your organisation enters them for workforce and commercial administration.

  • Precise location (opt-in)

Used for consent-gated project geo check-in and when you deliberately press Check In for yard or office attendance. SiteAid only requests location while the app is in use and after you allow location access on your device or browser.

  • Voice input (optional)

Where supported, voice-to-text uses your browser or device's speech-recognition service. SiteAid receives the resulting text and can save it with your form; SiteAid does not save an audio recording. Your browser or device provider determines how speech recognition is processed.

  • Identifiers

Your user ID and, only if you enable push notifications, your device's push token — held server-side only.

  • Usage and support information

Help-article views and assistant interactions used to improve the service, plus the messages, optional screenshots and technical context included in issue reports.

How your data is used

Your data is used to run the service: to authenticate you, identify you on projects and records, deliver the project management and compliance tools, verify site attendance, and send you notifications about your work. It is not used to profile you or for advertising.

What we never do

  • No advertising, no cross-app tracking, no data selling.
  • No payment card data is collected or handled by the app.
  • No Apple Health/HealthKit data, biometric identifiers or advertising identifiers are collected.

Who your data is shared with

  • Your organisation and authorised project users — records are shared within the company and project permissions configured for your work.
  • Base44 — provides the app platform, account authentication, database, file storage and backend services used to operate SiteAid.
  • Google Maps — site addresses used for address lookup and maps. Map requests are handled by Google's service.
  • Email delivery services — invitations and workflow emails include the recipient's email address and the relevant message; Outlook is used by the company-user invitation service.
  • Base44 native push and Apple Push Notification service — opt-in notifications use a device push token and generic message text to deliver work alerts. Notification preferences can be changed in the app or device settings.
  • Optional AI features — if you use assistant, document-extraction or form-generation features, the relevant prompts and submitted content are processed through Base44's AI services to provide that feature.
  • Speech recognition — if you choose voice input, your browser or device's speech-recognition provider processes the speech.
  • Company-configured integrations (e.g. EasyPV, Monday.com, RAM Tracking) — only when your company connects its own integration, using keys your company stores encrypted in-app.

Service providers process the information needed to deliver the feature. SiteAid does not sell personal data or use it for advertising or cross-app tracking. Optional integrations also operate under the relevant provider's privacy terms.

How long we keep your data

We keep account data while your account is active and it is needed to provide the service. You can request deletion from inside the app. A deletion request is reviewed and processed by the platform operator; the request status and recorded outcome are shown in the app. Records that must be retained for a statutory, tax, audit, safety or contractual obligation may remain with your organisation's project or company records. The recorded outcome explains what was erased or retained and why.

Company data follows a managed retention lifecycle: archived projects are held for an audited review window before any purge, and records under a legal or compliance hold are never silently deleted.

Retention depends on the type of record, the purpose for which it is needed, any obligation applying to your organisation and any active retention hold. There is no single retention period for every account and project record. Contact your organisation or SiteAid for information about the retention applicable to your records.

Your rights and choices

  • Request deletion of your account and personal data — from directly inside the app, with the outcome shown to you.
  • Contact support — for help with your data or your account.
  • Project geo check-in requires SiteAid's in-app location consent. Yard and office attendance requests your current location when you choose Check In. You can withdraw device or browser location permission at any time in its settings.
  • Notification preferences are managed per category in your profile settings.
  • You can view records available to your account in the app. Contact your organisation or SiteAid to request access, correction or deletion of personal data, or to ask about restricting or objecting to its use. The response depends on the applicable rights and any obligation requiring a record to be retained.
  • Voice input, photo uploads, location and push notifications are used when you choose the corresponding feature or permission.
